As an I-9 & E-Verify Compliance Specialist, you will play a pivotal role in upholding employment verification standards, guiding Human Resources and business leaders through complex compliance processes, and protecting Spectrum’s reputation for accuracy and reliability. Your commitment to service and compliance will directly influence the consistency and trustworthiness of our employment practices.
How You’ll Make an Impact
- Attain and apply expertise across multiple business and vendor systems to accurately record and manage employee data
- Manage I-9 and E-Verify processes across multiple systems to complete remote I-9 verification and E-Verify for new hires
- Track and communicate deadlines for work authorization documents and receipts to prevent compliance issues and missed deadlines
- Ensure thorough tracking of expiring work authorization documents and communicate deadlines for reverification to employees and HR
- Deliver targeted communications and guidance to I-9 Administrators to resolve outstanding cases
- Create and deliver training materials and manage complex ad-hoc reporting from multiple systems
- Generate reports on verification and compliance metrics, including actionable monthly insights for HR and senior leadership
- Audit and correct I-9 data entry errors and internal processes to ensure compliance and system integrity
- Research and document resolutions for complex employment authorization scenarios, ensuring adherence to USCIS requirements
- Respond to unique employment verification situations requiring external research on rules and regulations
- Partner with vendors to manage system access and resolve challenges for employees, HR and COEs
- Support legal requests and oversee compilation of documentation requirements for USCIS and DHS audits
- Prepare and maintain accurate and effective templates, training documentation, troubleshooting guides, and job aides
Working Conditions
- Office environment
- Ability to work a flexible schedule based on 8:00 AM ET – 6:30 PM ET, Monday – Friday
What You’ll Bring to Spectrum
Required Qualifications
Education
- Associate’s degree in Business Administration, Human Resources, related field; or equivalent work experience with prior customer service experience
Experience
- 2+ years of Human Resources and/or Shared Services Operations Center experience
Skills
- Ability to problem solve in a high-volume production-oriented environment
- High level of analytical, process and problem resolution skills
- Clear and effective verbal and written communication skills
- Ability to maintain confidentiality
- Demonstrated customer service orientation and rapid responsiveness to client group needs
- High degree of attention to detail, logical thinking, and organizational skills
- Demonstrated follow-up skills on outstanding or pending matters
- Demonstrated research skills
- Previous experience with I-9 & E-Verify is desired
- Previous experience working with a multi-state shared services organization is desired
- Demonstrate proficiency in Microsoft Word, Excel and PowerPoint
