About the role – Executive Assistant to COO
- Provide and lead support to the COO with a high level of professionalism and in a manner that
reflects positively on the organization. - Reporting directly to the COO, the Executive Assistant provides high-level administrative
and executive support in a one-on-one working relationship. - The Executive Assistant also serves as a liaison to senior management teams; organizes
and coordinates executive outreach and external relations efforts and oversees special
projects. - The ideal individual will have the ability to exercise good judgment in a diversity of
situations, with strong written and verbal communication, administrative, and
organizational skills, and the ability to maintain a realistic balance among multiple
priorities.
Responsibilities
- Sustain a daily calendar of meetings and events by managing sensitive matters with a high
level of confidentiality and discretion, especially decisions directly impacting the
operations of the company. - Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and
other documents in support of objectives for the organization. - Arrange travel and accommodations; Prepare expense reports.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests
by gathering and providing information and referring non-routine calls to the appropriate
staff. - Ability to function well in a high-paced environment; performs additional duties as assigned
by executives. - Draft and prepare correspondence for internal announcements, board meetings, and
organizations that the executive is involved with. - Manage the Executive's contacts
- Assist in preparing and managing presentations and decks.
- Be responsive to emails/texts/phone calls, with contact outside normal business hours
Use discretion, confidentiality, and good judgment to handle C-Level matters. - Represent the company and the Executive in a positive light through great follow-through
skills and sound judgment. - Conserve the Executive's time by reading, researching, collecting and analyzing information
as needed, in advance. - Complete ad hoc projects as assigned – such as personal events and/or family needs.
Organize complex calendars and schedules; resolving any scheduling issues.
Qualifications and Skills
- Experience: 10+ years of experience providing support to senior leaders in a fast-paced,
high-performance environment. Prior experience in large, publicly traded companies is
desirable - Exceptional Organizational Skills: Demonstrated ability to manage multiple priorities,
anticipate needs, and proactively adapt to rapidly changing demands. Possess an
unwavering commitment to accuracy and attention to detail. - Communication and Interpersonal Skills: Exceptional written and verbal communication
skills, with the ability to interact effectively and professionally with high-profile executives,
government officials, and external stakeholders. Exhibit diplomacy, tact, and discretion in
all interactions. - Proactive Problem-Solving: A proactive and resourceful approach to problem-solving, with
the ability to anticipate challenges, identify solutions, and take initiative to improve
processes and efficiencies. - Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Outlook, Word,
Excel, PowerPoint), video conferencing, and other relevant software applications.
Experience with Concur or similar expense management systems is preferred.
Discretion and Confidentiality: Unquestionable integrity and a commitment to
maintaining the highest level of confidentiality.
